About the Australian Government’s Department of Foreign Affairs and Trade (DFAT)
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.
The Department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
About the position
Under general direction of the Consul, the position manages the full array of consular enquiries and cases which can be complex and high-profile, interprets policies, provides on-the-ground assistance to consular clients and drafts reports to Canberra. The position proactively develops and maintains a wide range of contacts in government organisations, other foreign missions and within the private sector to support the provision of comprehensive consular services at post.
The key responsibilities of the position include, but are not limited to:
- Provide consular, passport and notarial services to Australian citizens in Chile and Ecuador in accordance with departmental guidelines and legislation.
- Represent the work unit at a range of conferences and meetings, providing advice on Australian consular, passport and notarial services and reporting on meeting outcomes.
- Plan and manage consular support for major events with significant Australian attendance.
- Maintain and issue accountable documents, undertake reconciliations, operate databases and filing systems, and ensure the security of passport machines and equipment.
- Maintain statistics and electronic records, providing analysis and advice on consular and passport cases.
- Provide advice, guidance and training to senior staff, including Honorary Consuls, on consular, passports and notarial issues.
- Assist the Consul with the development, maintenance and testing of post’s Crisis Action Plans (CAP), drafting travel advisories and office administrative responses, and prioritisation of tasks.
- Receive payments and complete other administrative tasks as required.
Qualifications/Experience
- Demonstrated knowledge, skills or experience working in customer service or a similar role.
- Excellent client-focused customer service skills, with sensitivity when dealing with complex queries, and attention to detail to understand what the client needs to resolve their issue.
- The ability to quickly acquire an understanding of the Australian Passports Act 2005 and associated regulations including the Consular Services Charter.
- Capability to interpret and apply legislation and policy.
- The ability to apply knowledge of local laws and customs and liaise efficiently with stakeholders such as government agencies, local authorities and social services to achieve outcomes.
- Research and provide policy advice on political and security developments in Chile and Ecuador.
- Demonstrated ability to prioritise work, be flexible with tasks and work well in a team environment.
- Fluency in written and spoken English and Spanish.
